AI notetaker tools for sales teams
Every AI notetaker records the call, transcribes it and writes a summary, so the demo always looks the same. The differences show up later, in three places. First, the meter: some vendors cap recording minutes, some cap storage, some record without limit and meter the AI instead, and the free plan you adopt on Monday can become a paid seat by the end of the month. Second, the layer above the transcript: trackers, scorecards, coaching metrics and CRM field sync almost always sit one tier above the plan you were quoted, which is where a notetaker turns into conversation intelligence. Third, how it gets into the room, since bot free desktop capture and a visible meeting bot land very differently in a client call, and the bot free option is often Mac first. If you sell, add a fourth question: what reaches the CRM without a rep retyping it. Prices below are as published in August 2026 and most of the headline figures are annual billing rates, so monthly costs more. One vendor here, the revenue intelligence incumbent, publishes nothing.

Fireflies transcribes without limit but caps team storage at 400 minutes and 20 AI credits, and Otter's Basic plan allows 300 minutes a month. Grain has a free plan that caps individual meetings at 45 minutes. Avoma and Gong have no free plan. Checked August 2026.
A bot joins the call as a visible participant, which every tool here supports across Zoom, Google Meet and Microsoft Teams. Bot free capture records from your machine instead, which some teams prefer on client calls. Otter and Grain offer it on Mac and Windows, and Fathom's version is Mac first with a Windows build listed as coming as of August 2026. Bot free capture does not remove the consent question, it only removes the visible participant.
That depends on where the participants sit, and this is a legal question rather than a product one. What is comparable between vendors is their published posture: Fireflies, Fathom and Avoma claim SOC 2 Type II with HIPAA, tl;dv claims GDPR, SOC 2 and EU AI Act compliance with EU hosting, Otter announced HIPAA compliance in July 2025 while Wikipedia documents a 2025 California class action alleging recording without permission, and Gong publishes a commitment that customer data is not used to train generative models.
Usually at the point you want deal level answers rather than meeting level ones. Fathom does not advertise forecasting, pipeline analytics or a dialer, tl;dv stops at meeting intelligence and coaching, and Grain positions itself below the suites it compares against. Avoma sells revenue intelligence as an add on seat, and Gong is the full platform with forecasting, engagement and deal inspection, sold on a quote with a platform fee on top of per user licenses.
