Fireflies.ai vs Otter.ai

Fireflies.ai and Otter.ai are two of the best known AI notetakers, and both do the same core job: join a Zoom, Google Meet or Microsoft Teams call, transcribe it, then produce summaries, action items and searchable notes with a chat assistant over the archive. The differences show up at the edges. Fireflies claims transcription in over 100 languages at around 95 percent accuracy, ships a web app, Chrome extension, desktop app and iOS and Android apps, and puts conversation intelligence such as talk time, sentiment and topic trackers on its Business plan, with a public API and an MCP server available on paid tiers. Otter is built around live transcription, with speaker identification during the call and a desktop recorder that captures on Mac and Windows without sending a bot into the meeting, and it claims more than 40 million users. Its homepage lists six languages, and API access, SSO, SCIM and its SDR notetaker sit on Enterprise. Pricing is close: from their published pricing in August 2026, Fireflies Pro is $10 per seat per month on annual billing and Otter Pro is $8.33 per user.

01The verdict

Fireflies covers more languages and puts conversation intelligence and an API within reach of a mid tier plan, while Otter is the faster live transcription tool and the easier company wide rollout, with cheaper entry seats and a five seat minimum on its team plan.

Pick Fireflies.ai if

  • Your meetings run in many languages. Fireflies claims 100+ languages at around 95 percent accuracy, with automatic language detection and multi-language mode from the Business plan.
  • You want conversation intelligence without an enterprise contract: talk time, sentiment, topic trackers and team analytics start on Business at $19 per seat per month billed annually.
  • You want to build on the data. Fireflies publishes a public API and an MCP server for AI clients such as Claude and ChatGPT, rather than reserving API access for Enterprise.
  • Your team is spread across devices: web, Chrome extension, desktop, iOS and Android.

Pick Otter.ai if

  • You want the transcript during the meeting, not after it. Live transcription with speaker identification is Otter's centre of gravity.
  • You would rather not send a bot into calls. Otter's desktop recorder captures on Mac and Windows without a bot joining.
  • Entry price decides it: Pro is $8.33 per user per month billed annually, listed at $16.99 monthly (published pricing, August 2026).
  • The rollout goes company wide beyond sales, where shared notes, channels, agentic workflow automation and the Live Assist coaching agent are the draw.

07Questions

They are close, and the seat minimum matters more than the headline. From their published pricing in August 2026, Fireflies is $10 per seat per month on annual billing for Pro (listed at $18 monthly), $19 for Business ($29 monthly) and $39 for Enterprise on annual billing only. Otter is $8.33 per user per month on annual billing for Pro ($16.99 monthly) and $19.99 for Business ($30 monthly), but Business bills a minimum of five users, so a small team pays for seats it may not use. Otter Enterprise is quoted.

Fireflies' free plan includes unlimited transcription and AI summaries but caps storage at 400 minutes for the whole team, includes 20 AI credits, limits recordings to 2 hours and captures video at 720p. Otter's free Basic plan includes 300 minutes a month across meetings and imports, 3 lifetime file imports, one concurrent meeting, up to 5 workspace members and 20 AI Chat queries a month. Otter also advertises a 7 day trial on Business.

Fireflies, by its own claim. It publishes transcription in over 100 languages at around 95 percent accuracy, with multi-language mode listed from the Business plan. Otter's homepage lists English, French, Spanish, Japanese, German and Mandarin, with French and Spanish added in October 2024 and Japanese in November 2025 according to their press page. Both figures are vendor claims and worth testing on your own audio.

Both publish compliance claims. Fireflies lists SOC 2 Type II, GDPR and HIPAA, with a business associate agreement and private storage on Enterprise, plus a published zero day retention policy stating meeting data is not used to train AI models. Otter reports SOC 2 Type II attestation in 2023 and HIPAA compliance announced in July 2025, with SSO and SCIM on Enterprise. Separately, Wikipedia documents privacy criticism of Otter, including a 2025 California class action alleging that the service recorded conversations without permission and a ban at the University of Massachusetts under the state's all party consent law (reported). Recording consent rules vary by state and country, so check your own obligations before rolling either tool out.
